Sales Support & Purchasing Coordinator Summary The Sales Support & Purchasing Coordinator (SSPC) is responsible for end-to-end quote generation through delivery of IT products, in support of the firm's Managed and Professional technology services.
This is an on-site position, at Clare's headquarters in San Ramon, CA.
Reporting Structure The SSPC will report to the Chief Finance Officer.
Roles & Responsibilities ? The SSPC will work directly with CCS's partner vendors to research and obtain hardware, software, and subscription service specifications and pricing.
? Leverage the client quoting platform, Quotewerks to generate and manage product quotations and project proposals.
? Use automated workflow within the Line of Business application, Connectwise, to track hardware warranty and subscription service renewals.
? Track documented client asset serial number and warranty information using the cloud asset management solution, ScalePad.
? Generate and maintain opportunities that correspond to the curated quotations within the line of business platform, Connectwise.
? Update and refresh product quotes and project proposals, as requested on an ad hoc basis by members of the Client Strategy team.
? As an enforcer of the firm's technology stack, the SSPC will ensure that hardware, software, and subscription services on issued quotations are consistent with our established standards.
? Periodically offer summarized product development updates to the Client Strategy & Professional Services teams.
Empowering Your Success! ? As the technology stack evolves and new solutions are incorporated, the SSPC will be responsible for quoting and procuring these as well.
? Participate in vendor-required training and certification courses and testing.
? Curate a set of Standard Operating Procedures associated with the quoting and purchasing workflow/tasks, and cross-train an alternate staffer to provide continuity in these services when they're out of office.
? Ensure product ordering accuracy and timeliness.
? Prioritize open tasks and deliverables, based on Account Management and client urgency.
? Work closely with the Client Strategy Director to design and enact new quoting workflow that contributes to efficiency.
? Work with the CFO to onboard new integrated purchasing tools that will lead to gains in efficiency.
? Periodically engage client points of contact directly with support subscription renewal quotes.
? Address follow-up questions for those clients under management of type Time and Materials, Resold Services, Managed Backups, and any combination therein.
? Escalate any client inquiries to the assigned member of the Client Strategy team.
? Continuously look for areas for process improvement and new tools/solutions that contribute to efficiency and accuracy in quote delivery.
? Generate and send product invoices from financial platform, Sage.
? Receive products in the Sage financial platform.
? Process approved quotes into Sales Orders and Purchase Orders.
? Work with partner vendors to procure hardware and licensing in a timeframe that meets client and vCIO expectations.
? Create and maintain service tickets to track orders and hand-off to Managed Service team for implementation work outside of projects.
? Review and maintain procurement records, including purchase orders, contracts, etc.
? Manage all RMA requests, including tracking return process through receipt of vendor credit memo.
? Summarize monthly product revenue, margin, and cost data and present to management.
? Provide stock updates for reseller hardware inventory to Solutions Architects.
? Maintain excess inventory, including network cables, endpoints, and network infrastructure.
? Box up and ship out staged equipment to clients if requested using UPS shipping portal.
Invoice clients for shipping charges.
? The SSPC will maintain an understanding of:
