years of administrative experience.
In your role, you'll Maintain a welcoming and tidy office environment for clients, visitors, and team.
Answer and direct incoming calls Maintain office resources (space, furniture, supplies, office technology equipment) Assist the whole team with all office functions.
Responsible for regularly reviewing the calendar for multiple advisors' scheduled meetings, re-evaluating priorities, and modifying appointments as needed.
Closely monitor email and other communications to ensure all scheduling is coordinated, logistics confirmed, and appropriate parties are promptly kept up to date and informed.
Utilizing good judgment in managing calendar appointments and anticipating the needs of the advisory team, and will partner to prioritize and triage incoming, ongoing, ever-changing meeting requests.
Generate reports for advisor's meetings with clients and after-meeting letters.
Update contact management systems, such as SalesForce and Commonwealth CRM File and upload client statements, correspondence, agreements, etc.
Assist with client mailings, events, and workshops.
Make suggestions to systematize and improve office functions.
Sort and distribute mail, manage vendor relations, order and maintain office supplies, and manage sales material inventory.
General office tasks such as copying, scanning, sorting, and organization.
Serve as the safety coordinator (update evacuation plans, organize safety training, order equipment) and crisis event administrative representative, Candidates are tested for competency in software and office skills.
Our office is in San Ramon and provides a comfortable, professional work environment.
Monday through Friday, salary $55k to $65k depending on experience and qualifications; medical, dental, vision, and retirement plan available after 90 days probationary period.
Must submit to fingerprinting and pass a background check.
